Administrative Assistant

Description du travail :

Provide support to the team and collaboration :

  • Welcome all members and visitors in the secretariat;
  • Assist collaborators with various requests;
  • Perform necessary updates using databases (registration of new members from different statuses, institute information, employment extensions, Team Leader and Deputy Team Leaders);
  • Travel organization including reservation of transport/car hire with CWT and payment of conference fees;
  • Help with visa documentation for members (convention, note verbale, invitation letters);
  • Organise visits to Point 1 (Visitor Centre & underground) for internal members and general public including search for guides, preparation of IMPACTs and coordination with safety team and Visits Service;
  • Assist with distribution of office space;
  • Purchase and storage of all office supplies ;
  • Support given in any events with the general preparation and set-up.

  • Use of basic software packages
  • Ability to adapt and learn fast in-house tools
